Frequently Asked Questions

Find the answers to your most common questions about the My Travel Plan tool in this section.

If there is a question you need answered that isn't listed below then please email mytravelplan@est.org.uk and we will add it to the list.

  • What travel plan information can I save in the My Travel Plan tool?

Basic information such as the number of employees, visitors, etc and the hours that your organisation operates, any key site accessibility issues, as well as your travel plan objectives and targets.

You can log monitoring data associated with specific measures in your travel plan and enter business travel figures. There is also a survey creating function, from which a number of reports can be generated e.g. mode share and carbon footprint reports.

  • How secure is my information?

The database which holds all the data that is input into the tool can only be accessed by authorised users of the site and they only have limited access to the appropriate data required. Any access to the database by the hosting organisation is logged and audited.

The server on which the tool is hosted is protected by a firewall and is kept up to date with the latest service packs and security fixes to prevent any issues with viruses.

  • Can other people see my information?

Out with your own organisation it is only the Energy Saving Trust Administrator that can see the information that you enter into the My Travel Plan tool. Anonymous data may also be made available to the Transport Scotland (as funder of the tool) or some of its partners.

  • What is the growthing up factor on the survey?

We are conscious that you rarely get a 100% return rate on surveys. To help you produce figures based upon the returns you receive then we have included a 'growthing up factor' which extrapolates the figures based on actual responses received.

The 'growthing up factor' is used to estimate the mode share and the carbon footprint for the organisation as a whole, so it is representative of the actual organisation and not biased in favour of for example, a particular department.

For more information take a look at the step by step guide for creating surveys.

  • Which reports is the growthing up factor applied to?

The growthing up factor is applied to all of the reports but will not affect the raw results collected through your travel survey. These results report actual numbers for your travel survey and can be found under the completed survey reports.

  • Which growthing up factor should I use for my survey?

You should select the growthing up factor that is relevant to your organisation and that you have data for e.g. if you select 'department' as your growthing up factor then you need to have data on the numbers of staff within each department to compare the results of the survey with.

  • One of our employees wants to know who sees the information provided in the surveys?

None of the data entered into a survey can be attributed to specific individuals. Home postcodes are requested in the survey but it is not a mandatory question and there is the option to only enter the first three digits of the postcode (which would only indicate the area an employee lives in).

  • How does the tool calculate the carbon footprint?

The carbon footprint for a site is calculated using data sourced from the DECC Greenhouse Gas (GHG) Conversion Factors for Company Reporting, 2010

    http://ww2.defra.gov.uk/environment/economy/business-efficiency/reporting/

The staff daily carbon footprint for commuting (captured during the staff travel survey) is calculated using the following formula: Mode(s)KgCO2 factor per mile x distance (miles) x 2.

The carbon footprint for business travel is calculated using the same formula only it is not multiplied by 2 (as the distances entered will include the distance for a return journey).
